Do you receive orders as PDFs by email and somebody retypes them into your system?

That is how most business-to-business companies work: every customer sends the order the way they like. A PDF from their own system, a photo of a form filled in by hand, a voice message on WhatsApp, an email with the lines in the text. Somebody in the office opens the file, reads it and retypes it line by line: order number, item codes, sizes, quantities. Every retyping costs time and is a possible mistake.

What the reader does

You upload an order (PDF, photo or voice note), the AI reads it and turns it into structured lines: order number, customer, item, size or variant, quantity. The result comes back at once as an Excel or CSV file. How it fits into your daily work

The demo downloads an Excel file because that is the simplest way to show the result. In your company the reader connects where orders actually arrive, in three ways already available:

Inside your email client: an extension reads the attached order from the open email and hands it to your system, without saving and re-uploading anything.
Directly on the IMAP mailbox: the reader watches the orders mailbox, picks up attachments as they arrive and processes them on its own, at night too.
With your ERP, via API: the extracted lines stay available in a structured format and your system pulls them when it wants, with your own item codes and customer records.

What it does not do

It does not enter orders on its own with nobody looking. Lines the model is unsure about (an unreadable quantity, a code that does not exist in your records) are flagged and go to a person before they enter the system. The reader does the boring work, the office confirms.

What it costs

It depends on where your orders come from and which system you run: it starts with a mockup from 600 to 1,500 € (deducted in full from the project) followed by a written quote in stages, or by the day from 850 to 1,100 € for AI integration work. Which order formats does it read?

PDFs generated by an ERP, scanned PDFs, photos of handwritten forms, images, voice notes and the text of emails. The layout does not need to be fixed: every customer can send their own form.

Does it read handwritten orders?

Yes, as long as a person could read the handwriting. Doubtful lines are flagged for review instead of being guessed.

What happens when it gets a line wrong?

Every extracted line carries a confidence level: below the threshold it is flagged and goes to a person before entering your system. Corrections improve later readings from the same customer.

Can it connect to our email?

Yes, in two ways: an extension for your email client that reads the attachment from the open email, or direct reading of the IMAP mailbox, which processes orders as they arrive with no intervention.

How do the data get into our ERP?

Via API: the extracted lines (order number, customer, item, variant, quantity) are available in a structured format and your ERP imports them with its own codes and records. Or as an Excel or CSV file, as in the demo.

How much does it cost and how long does it take?
