What is a cloud subscription, and what is AI inside the system?
Cloud subscription: an external product with its own portal; you upload documents or connect data, pay a fee per page, per user or per call, and integrate the result into your system with a connector. AI inside the system: a module built into the program you already use, on your server or hosting, that reads documents or answers on data in the same screen where you work; you pay the project, not the pages.
When does the cloud subscription pay off?
- Low, occasional volumes: a few dozen documents a month, with no deep integration.
- No system to connect, or a closed system that exposes nothing.
- A standard need the product covers 100% as it is, and willingness to let documents leave the company.
- You want to start tomorrow, knowing the fee grows with usage.
When does AI inside the system pay off?
- Growing volumes: with 2,000 lines a month of delivery notes and invoices, the per-page fee soon exceeds the cost of the project, which is paid once.
- Documents and data that must not leave: purchase prices, customer data, shop-floor photos. The model runs on your server and the processing register does not change.
- Human confirmation must sit in the flow: AI proposes, a person confirms in the same screen, and it stays on record who did. In a separate portal, confirmation becomes an extra step that gets skipped.
- The need is yours, not the standard: your suppliers, your phases, your work report.
The sums, with real numbers?
A demo example, estimated: 40 delivery notes a week retyped by hand cost 3-5 minutes each, two to three hours a week. A subscription solves the reading, but documents leave and the fee grows with pages.
